Planning an airport transfer: timing, luggage and meeting point

Good planning reduces time pressure on the way to the airport and during pickup.

5 min read

Airport transfers require a realistic schedule, accurate terminal details and enough room for passengers and luggage. Flight times alone are often not sufficient for reliable planning.

Separate departure time from desired terminal arrival

Plan around the time you want to reach the terminal. Consider check-in, security, traffic and possible roadworks.

Share flight details and meeting point

For pickup, provide the flight number, terminal and a reachable phone number. Agree on the exact meeting point during confirmation.

Choose capacity based on luggage

Suitcases, pushchairs and sports equipment require extra storage. Give a realistic luggage count so a suitable vehicle can be checked.

Quick checklist

  • Flight number and terminal
  • Requested arrival or pickup time
  • Number of passengers
  • Suitcases and special luggage

Frequently asked questions

Can a flight delay be considered?

Provide the flight number. The procedure and any waiting time are agreed during booking confirmation.

Which vehicle is suitable for a lot of luggage?

State the number and type of luggage items. The team can then check whether an estate car, van or larger vehicle is needed.
